This Privacy Policy explains how Check-In App ("we", "us", or "our") collects, uses, stores, and protects your personal information when you use our wellbeing check-in application (the "App"). This policy is written in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using Check-In App, you agree to the collection and use of information in accordance with this policy.

2. INFORMATION WE COLLECT
Check-In App is a wellbeing platform where users signal how they are feeling (Green, Amber, or Red) and share that status with trusted people. We collect the following categories of information:
2.1 Personal Identity Information
We collect the following personal details to create and maintain your account:
• First name and last name
• Username (chosen by you)
• Mobile phone number in UK format (used as your primary identifier)
• Email address (optional)
• Country
• Profile photo or avatar (optional)
• Age confirmation (whether you are 18 or older, stored as yes/no only; we do not store your date of birth)
2.2 Account and Security Data
To protect your account and verify your identity, we collect:
• Password (stored securely in a hashed format using Node.js scrypt cryptography; never stored or transmitted in plain text)
• SMS verification codes (temporary, used during registration and expire after 10 minutes)
• Login sessions (stored on your own device)
2.3 Wellbeing Check-in Data
This is the core data of the App and includes:
• Check-in status: Green ("Great"), Amber ("I"m OK"), or Red ("Need support")
• Optional notes attached to check-ins (free text)
• Optional images attached to check-ins
• Whether a check-in is anonymous (yes/no flag)
• Timestamps of when each check-in was made
2.4 Social and Connection Data
To enable you to share your wellbeing with trusted people, we collect:
• Personal connections (who is connected to whom, and the connection status: pending, accepted, or removed)
• "Cares" reactions (records of who showed they care about someone"s check-in, similar to a "like")
• Alert subscriptions (who has opted in to receive notifications when a connection is struggling)
• Activity events (such as "John accepted your connection request")
2.5 Community and Organisation Data
If you join or create communities within the App, we collect:
• Community memberships (which communities you belong to and your role: member, manager, etc.)
• Community details (name, description, brand colour, visibility settings, invite codes)
• Organisation memberships (if you belong to a company, charity, or club)
2.6 Billing and Payment Data
If you subscribe to a paid service, we collect:
• Stripe customer ID (links you to your Stripe payment account)
• Subscription details (plan type, status, trial dates, billing period)
• Sponsorship records (if someone is paying on your behalf)
• Billing events (Stripe webhook records for processing payments)
Important: Actual card numbers and bank details are handled entirely by Stripe, our third-party payment processor, and are never stored in our own database.
2.7 Communication Logs
To deliver important messages and track usage, we collect:
• SMS logs (records of text messages sent, including verification codes, invites, reminders, and alerts)
• SMS usage tracking (monthly count of messages sent per user)
2.8 Preferences and Settings
To personalise your experience and respect your privacy choices, we collect:
• Privacy settings (whether to share status with connections, show notes, allow alert subscriptions, appear in community feeds)
• Reminder preferences (whether reminders are enabled, what time, and via which channel)
• Notification preferences (such as whether to receive "Red alert" SMS messages)
• Theme preference (light/dark/system; stored on your device only)
2.9 Invite Data
When you invite others to join the App, we collect:
• Pending invites (inviter"s ID, invitee"s name and mobile number, whether it is a family invite, expiry date)
• Manager invites (for community manager provisioning via SMS)
3. LEGAL BASIS FOR PROCESSING
We process your personal data under the following legal bases:
• Contract: Processing is necessary to perform our contract with you
• Consent: You have given clear consent for us to process your personal data for specific purposes
• Legitimate interests: Processing is necessary for our legitimate interests
4. HOW WE USE YOUR INFORMATION
We use the information we collect to manage accounts, enable check-ins, send SMS communication, process payments, manage communities, provide support, and improve the App.
5. HOW WE STORE AND SECURE YOUR INFORMATION
5.1 Storage
All data is stored in a PostgreSQL database hosted on our platform.
5.2 Security Measures
We implement industrial-standard security: hashed passwords, time-limited verification codes, session-based authentication, and PCI-compliant payment processing.
6. HOW WE SHARE YOUR INFORMATION
6.1 Within the App
Data is only shared with people you have explicitly accepted as connections. You have granular privacy controls.
6.2 Third-Party Services
We share limited info with Stripe (Payment) and SMS Works API (SMS Delivery). We do not sell data for marketing purposes.
7. DATA RETENTION
Account data is retained for as long as your account exists. Temporary data (codes, invites) has specific expiry dates between 10m and 14 days.
7.3 Account Deletion
You can permanently delete your account from Settings. All core data is removed upon deletion.
8. YOUR RIGHTS
Under UK GDPR, you have the right to access, rectification, erasure, restriction, portability, objection, and withdrawal of consent. Contact support@check-inapp.com to exercise these rights.
9. INTERNATIONAL TRANSFERS
Servers are located in secure European data centres. International transfers comply with UK GDPR safeguards.
10. CHILDREN"S PRIVACY
App is for users aged 18+ only. We do not knowingly collect info from anyone under 18.
11. CHANGES TO THIS PRIVACY POLICY
We update this periodically and will notify you of any changes here.

Terms & Conditions
COMPANY AND LEGAL DETAILS

SUBSCRIPTION AND PRICING
• Free trial details: Duration: The free trial lasts for 14 days. Sign-up: You must provide card details at the time of sign-up. After Trial: When the 14-day free trial ends, the user is given a 14-day grace period to re-subscribe.
• Subscription tiers and pricing: £24 for a personal subscription for a year; £49.99 for a family plan (maximum of 4 users) for a year.
• Payment frequency: Annual (billed yearly in advance).
• Refund policy: Unless required by law, we do not offer refunds, returns, or credits for any subscription fees (including for partially used billing periods). If you purchased a subscription through the Apple App Store or Google Play, any refund requests are handled in accordance with the app store’s policies and procedures. Nothing in these Terms affects your statutory rights as a consumer.
• Cancellation policy: You can cancel at any time and there is no notice period. You can cancel by deleting your account in the App settings or by contacting Support@check-inapp.com. Deleting your account will permanently remove your profile and content. If you cancel through an app store without deleting your account, you may retain access until the end of the current term.
• What happens to data when subscription ends: If your subscription ends, is cancelled, or a payment fails, you may lose access to subscription features. We will retain your account data for 14 days to allow you to resubscribe. If you do not resubscribe, we will delete or anonymise your content and data, subject to limited legal exceptions. You are responsible for keeping your own copies.
• Auto-renewal terms: Subscriptions typically auto-renew at the end of each billing period unless you cancel before the renewal date. You can manage or cancel auto-renewal in your device’s subscription settings.
APP USAGE RULES
• Minimum age requirement: 18+
• Prohibited behaviours:
• Use the App for unlawful, fraudulent, or harmful purposes.
• Harass, bully, threaten, or abuse any person.
• Share hateful, discriminatory, or sexually explicit content.
• Upload content you do not have the right to use.
• Attempt to gain unauthorised access or disrupt the App.
• Reverse engineer or circumvent security features.
• Use the App to send unsolicited promotions or spam.
• Content guidelines: Only post content you have the right to use and that complies with laws. Do not post illegal, misleading, or harmful material. Do not post content depicting self-harm, eating disorders, or violence. Do not post private information of others or content that infringes intellectual property rights.
• Consequences for misuse: Actions may include warnings, removing access to content, temporary suspension, or permanent termination. If terminated for misuse, you lose access to content and are not entitled to a refund.
• Your right to moderate or remove content: You reserve the right to moderate and delete content where necessary.
INTELLECTUAL PROPERTY
• Ownership: CCSP LTD owns the App. You retain ownership of your User Content but grant CCSP LTD a worldwide licence to host, store, replicate, and display it for platform operation purposes.
• Trademark information: “CHECK IN”, the logo, and slogans are trademarks of CCSP LTD. You must not use our trademarks without prior written permission.
• Copyright notices: The App’s software, design, and materials are protected by copyright. CCSP LTD grants you a limited licence to access and use the App for non-commercial purposes only. You must not copy, modify, or distribute any part of the App without permission.
LIABILITY AND DISCLAIMERS
• Medical disclaimer: The App is for wellbeing tracking only and is not medical or clinical advice. Always seek the advice of a qualified healthcare professional.
• Crisis support disclaimer: The App is not an emergency service. If in immediate danger, call 999 (UK) or local emergency services; contact Samaritans on 116 123 for support.
• Limitations of liability: To the extent permitted by law, our total liability is limited to the amount paid for the App in the 12 months preceding the claim. We do not guarantee uninterrupted or error-free availability of the App.
• Service availability: We aim for a 99.5% monthly uptime target, but do not guarantee it. This target excludes maintenance and events beyond our control.
• Indemnification: To the extent permitted by law, you agree to indemnify and hold harmless CCSP LTD from any claims arising out of your breach of these Terms or misuse of the App.
TECHNICAL DETAILS
• Supported platforms: Apple iOS (13.0+) and Google Android (5.0+). Check for specific device updates often.
• Requirements: Active internet connection required. You are responsible for network provider charges.
• Maintenance: We perform maintenance to improve performance. Critical security fixes may be deployed at any time, which may cause temporary downtime.
TERMINATION
• Accounts: We may terminate accounts for breaches of terms, unlawful use, or security risks. You can delete your account at any time via App settings. Deletion removes all profile data, connections, communities, and check-ins permanently.
DISPUTE RESOLUTION
• Complaints: Contact Support@check-inapp.com with descriptions of issues. We aim to acknowledge within 5 business days.
• Governing law: Terms are governed by the laws of England and Wales. Disputes will be handled by the courts of England and Wales (unless you are a consumer with specific regional rights).
MISCELLANEOUS
• Account transfer: Your account is personal; do not transfer it. We may transfer our rights in a merger or sale.
• Changes: Terms may be updated. By continuing usage, you agree to updated terms. If the changes are material, we will provide notice where practicable.
